Terms of Service

Important notice: This document is an initial draft and must be reviewed by legal counsel before launch.
These Terms of Service govern the contractual relationship between Kairos Biblical Trips (the “Organiser”), based in Deva, Hunedoara County, Romania, and the person booking a trip (the “Traveller”). By placing a booking, the Traveller confirms they have read, understood, and accepted these terms.
1. Scope of the Contract
The Organiser offers faith-based and biblical travel services: organised trips to Israel, Turkey, Greece, Egypt, Italy, and other destinations of biblical significance. Depending on the specific offer, services may include transport, accommodation, meals, expert biblical guiding by Dr. Timotei Rusu or partner guides, airport transfers, site entries, and on-trip assistance.
The exact package, itinerary, price, and exclusions are described in the written offer sent to the Traveller before confirmation.
2. Booking and Payment
Bookings are made via our online form, email, or WhatsApp and become firm only after:
- Written confirmation of availability by the Organiser;
- Payment of a booking deposit, in the amount and by the deadline stated in the specific trip offer;
- Full payment of the package before the departure date, per the communicated schedule.
Accepted payment methods (bank transfer, card, other instruments) are listed in the written offer. Prices may be quoted in RON or EUR; any exchange-rate differences are handled according to the offer.
3. Traveller Documents
The Traveller is responsible for holding valid documents throughout the trip:
- A passport valid for at least 6 months from the return date, for non-EU destinations;
- A valid national ID card for EU destinations where this is accepted;
- Visas where required by the destination authorities — the Organiser provides information, but obtaining the visa is the Traveller’s responsibility;
- Any other documents required by destination authorities (vaccination proof, medical insurance, entry forms, etc.).
The Organiser is not liable for cases where the Traveller is refused at boarding or at the border due to missing, expired, or non-compliant documents.
4. Travel Insurance
Travel insurance (medical, baggage, cancellation) is strongly recommended but is not automatically included in our packages, unless the specific offer states otherwise. The Organiser can recommend insurance partners, but the insurance contract is entered into directly between the Traveller and the insurance provider.
5. Cancellation and Refunds
If the Traveller cancels a confirmed booking, the following indicative penalty scale applies, calculated as a percentage of the total package value:
- More than 60 days before departure: minimum administrative fee plus non-recoverable costs already incurred (e.g. non-refundable flight tickets, hotel deposits);
- Between 59 and 30 days before departure: penalty of 30%–50% of the package value;
- Between 29 and 15 days before departure: penalty of 50%–75%;
- Less than 14 days before departure, or no-show: penalty of 100%.
The exact scale for each trip is stated in the written offer and may vary depending on third-party suppliers (airlines, hotels). The Organiser reserves the right to cancel a trip if the minimum number of participants is not reached, in cases of force majeure, or when there are significant safety risks. In such cases, amounts paid are fully refunded or the trip is rescheduled, without further compensation.
6. Organiser Liability
The Organiser’s liability for the performance of the travel package is governed by Romanian Government Ordinance no. 2/2018 on package travel and linked travel arrangements and other applicable provisions of Romanian law.
The Organiser is not liable for:
- Damage caused by the Traveller’s own acts or omissions;
- Events attributable to a third party unrelated to the performance of the contracted services, which were neither foreseeable nor avoidable;
- Force majeure and fortuitous events;
- Loss or damage to the Traveller’s personal belongings, beyond the limits provided by law.
7. Force Majeure
Force majeure means unforeseeable and unavoidable events beyond the parties’ control (natural disasters, armed conflict, terrorist attacks, government restrictions, pandemics, general strikes, border closures, etc.). In such cases, the parties will cooperate to reschedule the trip or, where rescheduling is not possible, to refund the amounts recoverable from suppliers, without further damages.
8. Data Protection
The Traveller’s personal data is processed in accordance with our Privacy Policy, which forms an integral part of this contract.
9. Conduct During the Trip
Kairos trips are educational and spiritual in nature. The Traveller agrees to respect the schedule, the guide’s instructions, and the rules of the places visited (including religious customs and dress codes at places of worship). The Organiser reserves the right to remove from the group any participant whose behaviour endangers the safety or comfort of the others, with no refund for unused services.
10. Disputes and Applicable Law
This contract is governed by Romanian law. The parties will first seek to resolve any dispute amicably. If an amicable settlement is not possible, disputes will be submitted to the competent courts of Hunedoara County, Romania.
Consumer travellers may also contact the Romanian National Authority for Consumer Protection (ANPC) or the European online dispute resolution platform: ec.europa.eu/consumers/odr.
11. Changes to These Terms
The Organiser may update these Terms of Service. The version applicable to a booking is the one in force on the date of its confirmation. Later changes do not affect confirmed bookings, except where required by law.
